Procurement tracking is the ongoing monitoring of every material and equipment order for project submittal approval status, order placement date, expected delivery, and actual delivery, to ensure that what the schedule assumes will arrive on time actually does, and to catch slippage early enough to adjust before it becomes a critical path problem.<\/p>\n\n\n\n
A procurement log, at minimum, needs to track each item’s approval status (has the submittal been reviewed and approved yet), order status (has the purchase order been placed), and delivery status against the required on-site date assumed by the schedule. Missing any one of these three data points leaves a gap in visibility. An item can show as approved and ordered while quietly slipping on delivery, and without active tracking against the required date, that slip might not surface until the schedule is already at risk.<\/p>\n\n\n\n
Long-lead items deserve the most active procurement tracking, precisely because their extended lead times leave less schedule cushion to absorb delays. A short-lead item slipping by two weeks might have little practical impact if there’s float in the schedule; a long-lead item’s equivalent slip, layered onto an already lengthy procurement timeline, can directly push a critical milestone.<\/p>\n\n\n\n
Procurement tracking connects meaningfully to submittal review timing too, since a submittal that sits in review longer than expected effectively extends the total procurement timeline for that item. A delay in approval is functionally the same as a delay in manufacturing from the schedule’s perspective, even though the cause and the responsible party are entirely different.<\/p>\n\n\n\n
A useful habit for any procurement log: colour-coding or otherwise visually flagging items where actual progress is falling behind the originally planned timeline, rather than only tracking raw dates in a flat table that requires someone to manually calculate whether each item is actually on pace. A log that makes developing delays visually obvious at a glance gets checked and acted on far more consistently than one that requires active calculation every time someone wants to know the current risk picture.<\/p>\n\n\n\n
Supplier communication frequency matters as much as the tracking system itself for catching a developing delay early. A procurement log updated only when a supplier proactively reaches out tends to lag reality, whereas periodic proactive check-ins with suppliers on long-lead items, rather than waiting passively for bad news to arrive, surface emerging delivery risk earlier, while there’s still more schedule flexibility to respond.<\/p>\n\n\n\n
