It&#8217;s the last major deliverable on most construction contracts, and it tends to get less attention than it deserves given how much it matters to the owner&#8217;s long-term operation of the facility.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A typical closeout package includes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>As-built drawings denote the final constructed condition<\/li>\n\n\n\n<li>Operations and Maintenance Manuals for each piece of equipment<\/li>\n\n\n\n<li>Warranty documentation, organized by trade and expiration date<\/li>\n\n\n\n<li>Final lien waivers from every subcontractor and supplier<\/li>\n\n\n\n<li>Certificate of occupancy and other required inspection sign-offs<\/li>\n\n\n\n<li>Training records for facility staff on new systems<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The as-built drawings are almost always the most difficult to deal with in a set of drawings. The reason for this is the nature of field conditions and the construction process, among other things. Ducts get moved, walls shift, and if records aren&#8217;t kept to show how the design was constructed, it becomes the contractor&#8217;s job to come up with an accurate as-built record after the project is completed. Some project teams try to redline drawings weekly specifically to avoid this crunch; others end up piecing it together from memory and RFI records in the final weeks, which is a much worse way to spend that time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Retention is frequently tied to closeout completion; a contractor might not see the last 5 or 10 percent of contract value released until the owner confirms the closeout package is complete and acceptable, which gives everyone real financial incentive to get this stage right rather than treating it as an afterthought once the ribbon is cut.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Warranty tracking deserves its own mention within the broader closeout package, since warranty periods for different systems often start on different dates: substantial completion for most general construction items, but sometimes a later date tied to a specific piece of equipment&#8217;s startup or an owner&#8217;s beneficial occupancy of a particular area. A closeout package that lists every warranty with a single blanket start date, rather than the actual applicable date for each item, can create real confusion years later when an owner tries to invoke a warranty claim and discovers the clock started earlier than they assumed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">More and more, clients request specific digital formats for closeout documentation along with their preferred software for facilities management. In many cases today, closeout deliverables will contain structured data that must import into the owner&#8217;s operations system with little or no data entry.
