Owners and lenders typically require some formal version of this, especially on projects with construction financing involved. A monthly owner’s representative report, or a bank inspector’s draw report tied to a loan disbursement schedule, are both forms of construction project monitoring, and they tend to focus on a fairly consistent set of questions: is the work completed to date consistent with the percentage of funds requested, is the schedule tracking to the baseline or slipping, and are there quality or safety issues that put the project at risk.<\/p>\n\n\n\n
On the contractor’s internal side, monitoring runs at a finer grain: daily reports, weekly schedule updates, cost-to-complete forecasts run monthly against the project budget. The value of consistent monitoring isn’t really about catching problems after they’ve happened; it’s about catching the early signals of a problem while there’s still time and budget flexibility to correct course, rather than discovering three months in that a trade is 20 percent behind, and nobody flagged it until the float ran out.<\/p>\n\n\n\n
Field documentation feeds directly into monitoring quality. A project with thin, inconsistent daily reports gives the monitoring process weak raw material to work from; trends are harder to spot, and disputes about progress or delay become harder to substantiate after the fact, since there’s no contemporaneous record to point back to.<\/p>\n\n\n\n
Cost-to-complete forecasting, specifically, is where a lot of projects that look fine on paper turn out to have hidden trouble; a monitoring process that only tracks percent-complete against schedule, without also forecasting remaining cost against remaining budget, can miss a cost overrun until it’s already unavoidable.<\/p>\n\n\n\n
Earned value analysis is one of the more rigorous monitoring frameworks in use on larger projects, comparing the value of work actually completed against both the budgeted cost for that work and the actual cost incurred, which lets a team distinguish a schedule problem from a cost problem rather than conflating the two into a single vague sense that things aren’t going well.<\/p>\n\n\n\n
A monitoring practice that deserves more use: tracking the difference between planned and actual duration of completed activities, and not just if tasks are still scheduled in the system. It’s extremely important because when an individual activity is consistently happening outside of the planned duration, it won’t show on a Gantt Chart, and it will begin to build a significant schedule slip well before the overall schedule slip is visible to the entire team.<\/p>\n\n\n\n
