Drawing version control is the set of practices and systems a project uses to ensure that everyone working from a given drawing is working from the current, correct version and that outdated versions are clearly identified and removed from active use rather than lingering in circulation.<\/p>\n\n\n\n
This sounds simple in principle and turns out to be one of the more persistent operational headaches on real projects. A drawing set lives in numerous locations: a hard copy in the trailer, a PDF in the superintendent’s email, a copy downloaded three weeks ago by a subcontractor, and the current official copy in the document management system. Without discipline, the copies begin to drift and build from an out-of-date drawing set. Once this happens, it is not noticed by anyone until someone begins construction from the out-of-date drawing set.<\/p>\n\n\n\n
Cloud-based document management systems represent a significant improvement over the last decade in managing drawing versions. Centralization of the single source of truth is the primary improvement. Better systems proactively remove superseded versions. Improved systems are only effective if the personnel involved retain discipline. An improved system is of no value if field personnel are using a drawing set that was printed months prior.<\/p>\n\n\n\n
A common failure mode deserves description. As a project begins, someone prints a full set of drawings for use in the field. That printed set then becomes the working version of the drawing for months, slowly diverging from the electronic version and creating confusion for downstream users. Correcting the failure mode would involve implementing a drawing control system in which the set is printed regularly to prevent frequent reissuing of the drawings. Also, individuals need to make it part of their routine to check the status of the last revision and review the drawing before starting any work.<\/p>\n\n\n\n
Field markups add a layer of complexity that pure document management doesn’t fully solve on its own. A superintendent’s redlined sheet, capturing an as-built condition that differs from what was issued, exists as its own kind of version one that needs to eventually reconcile with the official record during closeout, but that in the interim represents genuinely valuable field knowledge that shouldn’t get lost simply because it lives on a printed sheet in a job trailer rather than in the electronic document system.<\/p>\n\n\n\n
