An automated workflow is a set sequence of tasks that fires off a predefined rule and trigger, and nobody’s manually pushing it from step to step. Older idea than anything AI-related. Doesn’t need AI at all, actually. A trigger, a rule, an action – that’s really the whole recipe, no more to it than that.
On a project this looks pretty mundane, which is kind of the point. A submittal comes in, gets routed to whichever reviewer owns that spec section – no reasoning involved, just a rule matching a document type to a name. An RFI gets logged, a notification fires to the right design team member. A punch item gets checked off, the tracking dashboard updates itself. Same trigger, same result, every single time, whether it’s submittal number one or number three hundred.
The weakness shows up the second something doesn’t fit the mold, though. A submittal in some odd format, a document that won’t map cleanly to a category the rule’s expecting, and the workflow either breaks outright or somebody has to step in and reroute it by hand. That gap is exactly what AI-driven automation – AI workflow automation, agentic systems, whatever you want to call it – exists to close, by stacking some actual interpretation on top of the rule instead of leaning on the rule by itself.
Doesn’t make plain automated workflows obsolete though, not even close. Routing, notifications, status updates, simple sign-offs – a lot of repetitive coordination work is served just fine by a rule-based setup, and it’s usually cheaper and quicker to stand up than an AI-driven version would be. In most shops this is the layer everything else gets stacked on top of, not something anyone’s ripping out and replacing.
