Integrated project data refers to a project’s information—drawings, specifications, schedule, cost, RFIs, submittals, and correspondence—connected and cross-referenced across systems, rather than sitting in isolated silos that don’t talk to each other and require manual reconciliation whenever someone needs a complete picture.
The alternative, which is still how many projects actually operate, is a collection of separate tools and spreadsheets, each holding part of the picture. Drawings live on one platform. RFIs get tracked in another. Cost data sits in the accounting system. Schedule lives entirely in its own software. None of these systems inherently know about the others, so answering a question that spans multiple categories—say, what’s the total cost impact of every RFI response tied to a specific drawing sheet—means manually pulling from three or four different sources and reconciling them by hand.
Integration is commonly mistaken for putting things into a singular system. However, it usually refers to systems that communicate with one another so that information can be shared and accessed without the burden of clicking through and navigating multiple screens. An example is an RFI response auto-populating a bulletin, which auto-populates a change order related to a cost code. This eliminates the need for a person to go through several screens and reconstruct such a path from the disjointed system records.
Automation is most appreciated during disputes and audits, when complete, defensible documentation is needed to link cost or schedule impacts to their origins. A project with genuinely integrated data can reconstruct that chain in minutes. A project spends days piecing together the same story from disconnected sources, and something gets missed in manual reconstruction, but it wouldn’t be missed in a connected system.
Getting to genuine integration usually happens incrementally rather than through a single big-bang system replacement, since most firms have existing tools with real institutional investment behind them that can’t simply be discarded overnight. Waiting for an integrated solution to integrate multiple systems will significantly affect the time required to complete the integration. Each system’s interface should be connected separately. The RFI log, the cost tracking system, and the schedule all use the same RFI number in this example. Consistent identifiers and data link connectors facilitate the development of an integrated solution.
