This Responsible AI & AI Usage Policy describes how iFieldSmart approaches AI governance, customer data protection, AI-assisted workflows, model usage, human oversight, and responsible deployment practices.
This policy is intended to support transparency, enterprise trust, customer confidence, and responsible AI usage across construction and infrastructure workflows.
This Responsible AI & AI Usage Policy should be read together with the iFieldSmart Privacy Policy and the applicable End User License Agreement or customer subscription agreement. In the event of any inconsistency, the governing order of precedence will be as set out in the applicable contract.

iFieldSmart utilizes AI technologies to assist customers in improving construction workflows, project visibility, documentation management, field operations, coordination processes, and operational efficiency.
The purpose of this policy is to:

- Establish expectations regarding AI-generated outputs;

- iFieldSmart platform services;
- Lens360 reality capture workflows;
- AI-assisted construction intelligence capabilities;
- AI-powered document processing;
- AI-assisted observation reporting;
- AI-assisted search and retrieval systems;
- Workflow automation features;
- Construction data analysis tools;
- Future AI-enabled capabilities provided by iFieldSmart.

5. Human Review & Professional Responsibility
AI Outputs Require Human Review
AI-generated outputs may contain:
- Inaccuracies
- Omissions
- Incomplete information
- Incorrect interpretations
- Hallucinations
- False positives or missed issues
Accordingly:
- Users are responsible for reviewing and validating outputs;
- AI outputs should not be relied upon without appropriate human review;
- AI-generated content should be evaluated within the context of the applicable project, workflow, and professional standards.
No Replacement for Licensed Professionals
AI capabilities provided by iFieldSmart do not replace:
- Licensed architects
- Engineers
- Safety professionals
- Compliance personnel
- Construction managers
- Field supervisors
- Human QA/QC processes
- Professional inspections or approvals
The Services are intended as decision-support and workflow-assistance tools only.
6. Customer Data & AI Model Usage
No Public Model Training
Customer data, project information, uploaded files, BIM models, prompts, visual captures, and related customer content are not used to train public or shared AI models (that is, models made available for use by unrelated customers or the general public).
No Cross-Customer Training
Customer-specific information is not intentionally shared across customers for AI training purposes.
AI Processing for Service Delivery
Customer data may be processed through AI-enabled workflows solely for:
- Delivering requested Services;
- Operating AI-assisted functionality;
- Improving platform operations;
- Supporting workflow execution;
- Maintaining platform security and reliability.
De-Identified & Aggregated Information
iFieldSmart may utilize aggregated or de-identified information for platform analytics, service improvement, AI workflow optimization, benchmarking insights, and operational performance analysis. Such information is processed in a manner designed not to identify individual customers or projects.
7. Third-Party AI Providers
iFieldSmart may utilize trusted third-party providers to support AI-enabled capabilities and workflows. These providers may include:
- OpenAI;
- Anthropic;
- Google;
- Cloud infrastructure providers;
- OCR and document processing providers;
- AI workflow infrastructure providers.
Where applicable:
- Third-party providers are contractually restricted from using customer data to train public models;
- AI providers are engaged subject to security and operational safeguards;
- Customer data is processed solely for delivering requested functionality.
Provider relationships and technologies may evolve over time as AI capabilities develop.
8. Lens360 AI & Visual Data Processing
Lens360 workflows may utilize AI-assisted technologies in connection with 360° imagery, spatial documentation, site photography, existing conditions capture, visual observation workflows, construction intelligence generation, and AI-assisted documentation analysis.
Visual construction data may contain sensitive or confidential project information. iFieldSmart processes such data solely for delivering contracted Services, supporting customer workflows, providing AI-assisted functionality, and improving operational efficiency.
Customers remain responsible for:
- Ensuring lawful collection of visual data;
- Obtaining necessary permissions;
- Complying with applicable laws and regulations;
- Maintaining appropriate project-level controls.
9. AI Security & Operational Safeguards
iFieldSmart maintains administrative, technical, and organizational measures intended to support secure AI operations.
Security and governance practices may include:
- Access controls
- Authentication controls
- Encryption safeguards
- Security monitoring
- Operational oversight
- Controlled AI access
- Role-based permissions
- Customer environment separation
- Logging and audit capabilities
While commercially reasonable safeguards are implemented, no AI system or technology can be guaranteed entirely error-free or risk-free.
10. AI Limitations & Service Availability
AI technologies continue to evolve and may not always:
- Produce accurate results
- Interpret construction context correctly
- Identify all issues or conditions
- Generate complete outputs
- Reflect current regulations or codes
- Meet customer-specific requirements
AI functionality may also:
- Change over time
- Be updated or modified
- Produce variable results
- Depend on underlying third-party technologies
iFieldSmart does not guarantee that AI outputs will always be:
- Accurate
- Complete
- Reliable
- Error-free
- Suitable for every use case
11. Customer Responsibilities
Customers and users are responsible for:
- Reviewing AI-generated outputs;
- Maintaining appropriate human oversight;
- Verifying project-critical information;
- Using AI features lawfully;
- Avoiding prohibited or harmful uses;
- Protecting account credentials;
- Ensuring authorized use of project data;
- Maintaining compliance with applicable laws and contractual obligations.
Customers should not rely solely on AI-generated outputs for:
- Safety decisions
- Regulatory compliance determinations
- Engineering approvals
- Legal conclusions
- Final construction sign-offs
- Life-safety determinations
12. Prohibited AI Uses
Users may not use iFieldSmart AI capabilities to:
- Violate applicable laws or regulations;
- Infringe intellectual property rights;
- Submit unlawful or malicious content;
- Attempt unauthorized access;
- Circumvent platform safeguards;
- Generate harmful, deceptive, or fraudulent content;
- Reverse engineer AI systems;
- Conduct unauthorized benchmarking or competitive analysis;
- Interfere with platform operations.
iFieldSmart reserves the right to restrict or suspend access for misuse or prohibited activity.
